Leaves Settings
The Leaves Settings section allows administrators to define, manage, and configure leave policies for employees. It consists of three main tabs:
Leaves Type Settings
This tab enables administrators to manage different leave types, including their allocation, usage, and visibility across departments.
- Click Add New Leave Type to create a new leave category.
- The list displays existing leave types with details such as:
- Leave Type (e.g., Casual, Sick)
- Allotment Type (Yearly, Monthly)
- Number of Leaves Allowed
- Monthly Limit (if applicable)
- Leave Paid Status (Paid/Unpaid)
- Applicable Departments and Designations
Administrators can edit or archive a leave type using the Edit or Archive actions.
Adding a New Leave Type
When adding a new leave type, three configuration tabs are available:
- General
- Enter the Leave Type (e.g., Sick, Casual).
- Choose the Leave Allotment Type (Yearly or Monthly).
- Set the number of Monthly Leaves Allowed (if applicable).
- Define whether the leave is Paid or Unpaid.
- Assign a Color Code for easy identification.
- Entitlement
- Set the leave eligibility based on the Effective After period (Days or Months after joining).
- Enable/disable leave usage during Probation and Notice Period.
- Configure options for Unused Leave Carry Forward and Over Utilization.
- Applicability
- Define Gender and Marital Status eligibility.
- Select the Departments and Designations that can use this leave type.
- Assign applicable User Roles (e.g., Employees, HR Managers).
Leaves General Settings
This tab allows administrators to set leave calculation rules:
- Choose whether leaves count from the date of joining or from the start of the year.
- Define Reporting Manager Approval settings:
- Approve – Direct approval by the reporting manager.
- Pre-Approve – Requires an additional approval from HR/Admin.
Archived Leaves Type
This tab lists all leave types that have been archived. Archived leave types are inactive and cannot be assigned to employees but remain in the system for record-keeping.
Adding a New Leave Type
To add a new leave type, navigate to Leaves Type Settings and click on Add New Leave Type. This will open a form with three configuration tabs: General, Entitlement, and Applicability.
General Tab
- Leave Type – Enter the name of the leave type (e.g., Sick, Casual).
- Leave Allotment Type – Select whether the leave is allocated Monthly or Yearly.
- No. of Monthly Leaves – Specify how many leaves employees can take per month.
- Leave Paid Status – Define whether the leave is Paid or Unpaid.
- Color Code – Assign a color for easy identification in reports.
Entitlement Tab
- Effective After – Set how many days after joining an employee becomes eligible for this leave.
- Allowed in Probation – Enable or disable leave usage during the probation period.
- Allowed in Notice Period – Define if the leave is available when an employee is in the notice period.
- Unused Leaves – Choose if unused leaves should Carry Forward or Expire at the end of the cycle.
- Over Utilization – Set whether employees can take extra leaves beyond their allocated balance.
Applicability Tab
- Gender – Specify which genders are eligible for this leave type.
- Marital Status – Define if certain leave types apply based on marital status.
- Department – Select which departments can access this leave type.
- Designation – Specify which job roles (e.g., HR Manager, Sales Rep) can apply for this leave.
- User Role – Assign access based on roles such as Employee, HR Manager, App Administrator.
After filling in all required fields, click Save to create the new leave type.
