Leaves
The Leaves feature in Olqan HR allows organizations to manage and track employee leave requests effectively. Employees and administrators can request, approve, and monitor leave types, ensuring smooth workforce planning.
Requesting a New Leave
- Click “New Leave” in the Leaves section.
- Select the employee requesting leave under “Choose Member”.
- Choose the Leave Type (e.g., Casual, Sick, Vacation) from the dropdown list or add a new type if needed.
- Set the Status of the leave request (e.g., Approved, Pending, or Rejected).
- Select the Leave Duration:
- Full Day – The employee takes the entire day off.
- First Half / Second Half – The employee takes only part of the day off.
- Multiple Days – For leaves spanning multiple days.
- Choose the Date of the leave request.
- Provide a Reason for Absence to justify the leave.
- Optionally, upload supporting documents (e.g., medical certificates) under “Add File”.
- Click “Save” to submit the leave request.
Viewing and Managing Leave Requests
- The Leaves Dashboard displays a list of all leave requests, including:
- Employee Name
- Leave Date
- Duration
- Leave Status (Approved, Pending, Rejected)
- Leave Type (Casual, Sick, Vacation, etc.)
- Paid Status (Paid or Unpaid)
- Use the Filters to search for leave records by date range or employee name.
- Leave requests can be updated or canceled if necessary.
Exporting Leave Records
- Click “Export” to download leave records in an Excel (.xlsx) format.
- The exported file contains all leave details, making it easy for payroll and HR management.
The Leaves module simplifies leave tracking, improves transparency, and ensures proper workforce management.
Attendance
The Attendance module in Olqan helps organizations track and manage employee attendance records efficiently. It provides an overview of daily attendance, including present, absent, late, holidays, and leaves.
Viewing Attendance Records
- The attendance dashboard displays employees’ attendance for the selected month and year.
- Users can filter records based on Employee, Department, and Designation.
- Attendance statuses are represented by icons:
- ✅ Present
- ❌ Absent
- 🕒 Late
- 🌟 Holiday
- 📆 On Leave
- The total attendance count for each employee is shown at the end of the row.
Marking Attendance
Steps to Mark Attendance:
- Click Mark Attendance from the attendance dashboard.
- Select the Department and the Employee(s) to mark attendance.
- Choose the Location where the employee is working from.
- Select the Year and Month for the attendance record.
- Mark attendance by Month or Date for specific days.
- Set Clock In and Clock Out times.
- Specify if the employee is Late or on a Half Day.
- Enable Attendance Overwrite if updating an existing record.
- Click Save to finalize the attendance entry.
This feature ensures accurate tracking of employee attendance, helping HR teams manage workforce availability effectively.
